QBuddy ("QBuddy", "we", "us", "our") provides an AI-powered script rehearsal service (the "Service") available at https://app.qbuddy.ai/.

This Privacy Policy explains how we collect, use, and share personal data when you use the Service. It also explains your rights under applicable data protection laws, including (where applicable) the Swiss Federal Act on Data Protection (FADP) and the EU/UK GDPR.

1) Who is responsible for your data?

Until a legal entity is established, the Service is operated by the QBuddy founding team / individual operator ("Operator").

When we incorporate a legal entity, we will update this Privacy Policy to reflect the legal entity name and address.

2) What data we collect

A) Data you provide

  • Account data: email address, name (optional), login credentials.
  • User Content: scripts, role selections, rehearsal settings, and other content you upload or enter into the Service ("Content").
  • Support communications: messages you send to us.

B) Data collected automatically

  • Usage data: pages/actions within the app, feature usage, timestamps.
  • Log data: IP address, approximate location derived from IP, system activity, error logs.
  • Cookies and similar technologies: essential cookies to keep you signed in; optional analytics cookies if enabled.

C) Sensitive data

We do not intentionally collect sensitive personal data. Please do not upload sensitive personal data in scripts or notes.

3) How we use your data

  • Provide and operate the Service (login, rehearsal features).
  • Store and process Content you upload to deliver the rehearsal experience.
  • Provide support and respond to requests.
  • Maintain security and prevent abuse.
  • Improve the Service (debugging, performance, feature development).

4) Legal bases (where GDPR applies)

Where GDPR/UK GDPR applies, we process personal data under:

  • Contract (to provide the Service).
  • Legitimate interests (security, fraud prevention, improving the Service).
  • Consent (optional analytics cookies, marketing where required).
  • Legal obligation (where applicable).

5) AI processing and Content

QBuddy processes your Content to deliver the rehearsal experience (for example, generating cues, responses, or voice-related outputs).

  • Your Content remains yours.
  • We do not sell your Content or personal data.
  • Training: We do not use your Content to train our own foundation models unless you explicitly opt in.

We may use third-party AI providers to process Content strictly to provide the Service. Where available, we configure provider settings to restrict training on customer data.

6) Sharing your data

We may share personal data with:

  • Service providers (processors): hosting, storage, analytics/error monitoring, email delivery, and AI processing vendors that help run the Service.
  • Authorities or legal requests: when required by law, or to protect rights, safety, and security.

We require service providers to protect data and process it only under our instructions.

7) International transfers

Your data may be processed in countries outside Switzerland/EU/UK depending on where our providers operate. Where required, we use appropriate safeguards (such as contractual protections) for international transfers.

8) Data retention

We keep personal data only as long as needed:

  • Account data: while your account is active, plus a limited period after deletion for security/legal purposes.
  • Content: stored while needed to provide the Service; you can delete Content where the Service offers deletion.
  • Logs: retained for a limited period unless needed for security.

9) Your rights

Depending on your location, you may have rights to access, correct, delete, or object to processing of your data, and to withdraw consent where applicable.

10) Cookies

We use essential cookies required for login/session security. If we use optional analytics cookies, we will request consent where required and provide a way to manage preferences.

12) Children's privacy

The Service is not intended for children under 16 (or the age required by local law). We do not knowingly collect personal data from children.

13) Changes to this policy

We may update this policy from time to time and will post changes here with an updated "Last updated" date. If we incorporate a legal entity, we will update the controller/operator details.
